Privacy Policy

This Privacy Policy explains how till.Doc ("till.Doc", "we", "us") collects, uses and protects your information when you use our iOS app and website. We built till.Doc to help you remember expiry dates — not to profile you. We collect the minimum we need to make the app work, and we never sell your data.

1. Information we collect

Documents you add

When you scan or import a document, we process the image to read details such as the expiry date, issuer, reference number and document type. Depending on your settings, the original file is either stored securely in your account or discarded immediately after the date is read (see File storage).

Account information

You can start anonymously with no sign-up. If you choose to create an account, we store your email address (and, with Sign in with Apple, the identifier Apple provides). This lets you back up documents and sign in across devices.

Device & reminder data

To deliver push reminders we store a device push token. We also keep your reminder preferences (which channels and how far in advance you want to be notified).

Diagnostics

We collect limited technical logs (such as error reports and timestamps) to keep the service reliable and secure.

Website analytics

Our website (tilldoc.app) uses Google Analytics, provided through Firebase, to understand how visitors find and use the site. It sets cookies and collects aggregate, non-identifying usage data such as page views, approximate region and device type. This applies to the website only — not the app — and is not linked to your till.Doc account. See Google's Privacy Policy for details.

2. How we use your information

  • To read expiry dates and document details from the images you submit.
  • To send you push and email reminders before your documents expire.
  • To store and sync your documents across your devices, if you sign in.
  • To operate, secure, debug and improve the service.
  • To manage subscriptions and free-tier usage.

3. AI processing

To extract the expiry date and key fields, document images are sent to our AI vision provider, OpenAI, for processing. Images are transmitted securely and used only to return the extracted information to your account. Per OpenAI's API terms, data sent through the API is not used to train their models. See OpenAI's policies for details.

4. File storage & retention

Documents and account data are stored using Google Firebase (Firestore, Cloud Storage and Authentication), scoped to your account so that only you can access them.

You can turn off file storage at any time — when it's off, we keep only the reminder details (such as the expiry date and title) and do not retain the original image. We keep your data for as long as your account is active. When you delete a document, or your entire account, the associated files and records are removed.

5. How we share information

We do not sell your personal information. We share data only with service providers who help us run till.Doc, and only as needed to provide the service:

  • Google Firebase — hosting, database, storage, authentication, push delivery and website analytics.
  • OpenAI — AI vision processing of document images.
  • Apple — App Store, Sign in with Apple, and subscription management.
  • Our email delivery provider — to send email reminders.

We may also disclose information where required by law or to protect our rights and the safety of our users.

6. Subscriptions & payments

Pro subscriptions are sold and processed by Apple through the App Store. We never see or store your payment card details. We receive only the subscription status needed to unlock Pro features.

7. Your rights & choices

  • Access & deletion — you can delete any document, or your entire account, from within the app at any time.
  • File storage — you can disable original-file storage in settings.
  • Reminders — you can turn push and email reminders on or off per channel.
  • Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA, including the right to access, correct or port your data. Contact us to exercise these.

8. Security

Data is encrypted in transit, and access to your documents is restricted to your authenticated account through server-enforced security rules. No system is perfectly secure, but we work to protect your information using industry-standard safeguards.

9. Children

till.Doc is not directed to children under 13 (or the minimum age in your country), and we do not knowingly collect their personal information.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we'll revise the "Last updated" date above. Significant changes will be communicated within the app or by email where appropriate.
